This Privacy Policy explains how Optitrac 2022 Limited (“Optitrac”, “365Trac”, “we”, “us” or “our”) collects, uses, stores and discloses personal information in connection with the 365Trac platform, hardware, mobile apps and website (together, the “Services”). We are committed to protecting your privacy and handling your personal information in accordance with the New Zealand Privacy Act 2020 and the Information Privacy Principles.
1. Information we collect
Information you provide
- Contact and account details — name, business name, email, phone number and role when you enquire, request a demo, or create an account.
- Billing and organisation information needed to provide the Services.
- Communications you send us, including support requests.
Telematics & device data
- Vehicle and asset location, movement, trips, speed and idle time.
- Vehicle data collected via CAN Bus and connected sensors (e.g. fuel level, engine hours, temperature, door and shock sensors).
- Driver identification data (e.g. key fob or keypad IDs) and driver-behaviour events, where enabled by your organisation.
- Images or video captured by connected cameras, where that hardware is deployed.
Website & usage data
- Device, browser and usage information, and cookies or similar technologies (see “Cookies” below).
2. How we use your information
- To provide, operate, secure and improve the 365Trac Services.
- To deliver tracking, reporting, alerts and other features you or your organisation configure.
- To respond to enquiries, provide support, and manage your account and billing.
- To detect, investigate and help prevent theft, fraud, misuse and security incidents.
- To meet our legal and regulatory obligations.
3. Fleet and driver data
Where 365Trac is used by an organisation to manage its fleet, that organisation is generally the party responsible for how driver and vehicle data is collected and used, including telling its drivers what is being monitored. If you are a driver with questions about your data, please contact your employer or fleet operator in the first instance.
4. Sharing your information
We do not sell your personal information. We may share it with:
- Service providers who host, support or operate the Services on our behalf (e.g. cloud infrastructure and connectivity providers), under appropriate confidentiality obligations.
- Police or other authorised parties, where you request it or where reasonably necessary to assist with vehicle recovery, or where required or permitted by law.
- Professional advisers, or a purchaser in connection with a business sale or reorganisation.
5. Storage & security
Your information is stored on secure cloud infrastructure and may be held on servers located in New Zealand or overseas. We take reasonable technical and organisational steps to protect personal information against loss, misuse and unauthorised access, including encryption in transit and access controls. No system can be guaranteed completely secure.
6. Retention
We retain personal information for as long as needed to provide the Services and for legitimate business or legal purposes, after which it is deleted or de-identified.

Under the Privacy Act 2020 you have the right to request access to, and correction of, the personal information we hold about you. To make a request, contact us using the details below. We may need to verify your identity before responding.
